How to: Extract and review pricing

Once your bids are uploaded and your breakdown is set, BidLevel extracts pricing from each vendor quote and maps it to your breakdown so you can review everything in one place.

Step 1: Extract prices

  1. Open your package.

  2. Confirm your breakdown is correct.

  3. Start extraction.

  4. Wait for processing to complete.

BidLevel will:

  • read the uploaded quote content

  • allocate costs to the right breakdown line items

  • identify inclusions, exclusions, and notes from the quote text where possible


How BidLevel extracts pricing

BidLevel uses PDF processing models that retain much of the structure and meaning of the original document. An AI model then reads the content and allocates costs and the appropriate included or excluded label to each breakdown line item.


Step 2: Review in Side-by-Side Review

Use Side-by-Side Review to validate what was extracted against the original file.

  1. In your comparison table, find the vendor you want to review.

  2. Select Open bid review next to the vendor name.

  3. Check extracted values and notes against the original quote.

Excel note

You can review Excel uploads in Side-by-Side Review, but source mapping is not currently supported for Excel uploads.


What to do if something is missing

If a line item is missing from the breakdown:

  1. Edit the breakdown to add the missing item.

  2. Re-extract prices using the updated breakdown.

Inclusions, exclusions, and specifications

BidLevel will identify inclusions and exclusions automatically from quote text where possible. Notes clarify whether items are included or excluded, for example included red brick and excluded cream brick.

Rate only items

A rate only line item has a defined rate, but no quantity or total.

BidLevel will not show a discount unless it is explicitly listed as a line item in the quote.

Yes. Select Open bid review next to the vendor’s name to view the uploaded quote.


Submitted price vs extracted price

Submitted price

The total price pulled directly from the vendor quote, usually a lump sum.

Extracted price

The sum of all subtotals across your breakdown.

If there’s a variance between submitted and extracted price, it usually means you should review scope coverage, structure differences, or items that may sit outside the breakdown such as options.

What’s the difference between submitted price and extracted price?
Submitted price is the total extracted directly from the quote. Extracted price is the sum of subtotals across the breakdown. Variances highlight where further review is needed.


Assumptions

Corner triangles within the cell indicate BidLevel made an assumption for that line.

  • Hover the item to see the assumption in BidLevel

  • If you export to Excel, assumptions appear as comments in the relevant cells

Underlined items mean an assumption was made for that line. Hover to see the assumption, or check the Excel export where assumptions are included as comments.


Comparing different pricing formats

BidLevel supports comparing:

  • lump sum pricing

  • quantity unit rate pricing

  • rate only items

You should still validate scope coverage, especially when vendors price in very different structures.
